The Educational Supervisor's Role:
The ES is expected to
- read entries, link these to competencies and provide feedback
- provide other feedback re: number of log entries/ whether getting behind on OOH requirements, formal assessments numbers of entries/ style of entries etc.
- assess the Naturally Occurring Evidence at the times of the ESRs
Other Notes:
- There should be a high level of supervision throughout the final year as the year will be entirely in GP.
- It's important to education trainees about the quality and reflectiveness of the log entries right at the ST1 stage. Getting in there early will help make the rest of the training journey (and future educational supervision meetings) loads easier.
- You need to be more vigilant at the ST2 stage too. Often all of these are in hospital posts where the risk of losing contact with trainees is high. We need to put in the effort to make sure that the GPSTRs are really up to date on learning general practice, developing their understanding of the GP competencies and demonstrating this.
- There is a move to expect more virtual supervision of e portfolio by the ES… more reading and responding to log diary entries, more use of 'educators notes' (a section in the eportfolio) to point out that somebody is behind ( if appropriate). In other words, that we make sure we do not see doing the ESR meetings as the role of the ES but that these meetings are punctuations on a continuous ( if intermittent) interaction between ES and GPSTR.
- Those who are behind/ under performing will need more meetings , as well as more continuous checking and reading and feeding back etc.
- The deanery expects all trainers to be an ES so we need to make sure it is achievable
What Happens After the Meetings?
- You and your supervisor MUST generate an "Educational Supervisor's Report" (ESR).
- This report will highlight any difficulties - either personal, educational or with the post. Please don't worry about these being documented. Educational supervision is not about disciplinary procedures but more about helping you overcome or see you through the difficulties.
- Therefore, the report has an "agreed action plan" to help your training journey become smoother.
- The report must be uploaded onto the e-portfolio.
How to prepare for a review
First create a new review -
- click on learning log and review; look at the NOE (Audit, SEA, reflection of post)
- click on evidence - review CBDs, COTs, CEXs - minimum numbers, competence mapping
- stay on evidence - review PSQ, MSF and CSR - look for themes
- click on the 'Educators' Notes' and see what themes there are there
- Now click on 'create review' and go through the ESR form in order using the evidence made available to you on each page and bringing in other stuff noted from steps1-4
Review Dates
- All Educational Supervisor's Reviews which have been set as saved need to be completed and submitted by the Educational Supervisor on the ePortfolio. The GP StR must than accept the review. If you are uncertain about how to do this, please refer to page 4 of ‘The ePortfolio for nMRCGP - A Guide to the new reviews for Educational Supervisors.
- Educational Supervisors should ensure that the top review date is set to correspond with the end-date of your GP StR’s current placement.
- If you have accidently submitted the review with the wrong dates or elements are incomplete and your GP StR has accepted it, please ask the trainee to contact the RCGP nmrcgp@rcgp.org.uk and ask for their signature to be removed from the appropriate review. This will allow the Educational Supervisor to edit and resubmit the review. Please be aware that the trainee will have to re-sign the review after this has taken place.
- For a final review your GP StR(s) must have all of the evidence they need to support their progression from ST3 to CCT in place before their final Educational Supervision meeting and review.
